Role Description
The Marketing and Development Coordinator role will suit a proactive and creative problem-solver with highly developed communication and interpersonal skills, who wants to make a difference in the Melbourne Arts community.
The Marketing and Development Coordinator reports to the Marketing and Communications Manager, but has regular interface with the Executive Director and co-CEO regarding Chunky Move’s Fundraising and Development Strategy. The Marketing and Development Coordinator will contribute to the delivery of high-quality marketing, communications and brand outputs whilst coordinating the delivery of a robust program of development activities and donor stewardship. This role leverages Chunky Move’s recent momentum and success in fundraising and the establishment of a new CRM system and optimises the company’s marketing and communications outputs.
Key Responsibilities
Marketing and Communications
- Support the development and delivery of marketing strategies for the company’s annual program, including local seasons, touring productions, and public programs.
- Support the Marketing & Communications Manager to coordinate the design, production, and distribution of marketing and development materials—both print and digital—including campaign collateral, event invitations, donor communications, and impact reports liaising with designers, printers, and suppliers as required.
- Draft, edit, and proofread copy for e-newsletters, social media, event listings, and promotional materials.
- Update the company’s website and social media platforms with the support of the Marketing and Communications Manager, ensuring content is current, engaging, and aligned with the brand. – Together with the Marketing & Communication Manager, work with the company’s publicist to support PR campaigns and facilitate media opportunities.
- Assist with audience development initiatives, including basic audience research and survey distribution.
- Maintain accurate records of campaign activity and assist with basic audience engagement and marketing performance reporting (e.g. email stats, social media metrics, ticketing data).
Ticketing and stakeholder event management
- Under the direction of the Marketing & Communications Manager, coordinate all ticketing and box office operations for performance seasons and other events as required.
- Coordinate the communications, invite lists, RSVPs, and on-the-ground delivery for stakeholder and donor events—such as program launches, VIP functions, and the annual Donor Soirée—in collaboration with the Marketing & Communications Manager, Executive Director and co-CEO, and Production team. This includes managing guest lists, preparing event materials, and supporting event follow-up where required.

Development

- Strategy, including donor engagement, corporate partnerships, and philanthropic initiatives.
- Maintain the CRM (Airtable) with accurate and up-to-date donor and partner records, gifts, contact notes, and communication history.
- Lead the planning and delivery of fundraising campaigns, including the End of Financial Year appeal and other targeted initiatives.
- Work collaboratively with the Executive Director and co-CEO to develop an annual development budget and targets for fundraising activities and events.
- Support the stewardship of individual donors, including the coordination of thank you communications, impact reports, donor invitations, and annual cards.
- Track development income and prepare development reports for the Executive Director and coCEO, Fundraising Working Group, and Board.
- In consultation with the Executive Director and co-CEO, prepare agendas and take minutes for the biannual Fundraising Working Group meetings.
- Provide administrative support for trust and foundation applications, including research, draft submission writing, and preparing acquittals as requested.
- Assist the co-CEOs with diary coordination for key donor and corporate or philanthropic partner meetings.
