Role Description

The Melbourne Fashion Festival® (Festival) (MFF) is Australia’s largest and most culturally significant consumer fashion event. It is a highlight of Melbourne’s social and events calendar, offering an annual program of Fashion, Arts and Ideas events for consumers to enjoy and the industry to connect.

The event is managed and produced by not-for-profit organisation MFF Ltd, governed by a voluntary Board of Directors comprised of esteemed fashion industry and business leaders from around Australia.

The Executive and staff manage the organisation’s year-round activities to deliver the Festival in March and the suite of industry networking and support activities. This builds the connectivity and credentials that are integral to the high standard of implementation that has built the MFF reputation over 25 years.

PRIMARY PURPOSE

The Partnerships Coordinator’s primary purpose is to provide project, account and administrative support the Partnerships Team in their objective to acquire and manage partnerships for the organisation. The Partnerships Coordinator is required to develop positive partner relationships as well as liaise with internal stakeholders and suppliers to ensure a cohesive delivery of brand partner benefits.

Key Responsibilities

Business Development:

  • Support the Partnerships Team in exceeding annual revenue targets as set by the Head of Partnerships.
  • Assist the Partnerships Team with the development of brand partner proposals and toolkits.
  • Own the process for identifying and evaluating new brand partner opportunities through incoming enquiries that have the potential to drive partnership sales activity.


Account Management:

  • Ensure the professional, timely and accurate delivery of all contracted commitments made by MFF to its partners.
  • Work with partners to ensure key partnership information is communicated in a timely manner by way of regular meetings or written communication.
  • Work collaboratively with other MFF departments to ensure all partners’ contracted benefits are delivered to timelines, activity plans and budgets.
  • Assist in the delivery of corporate hospitality programs linked both to key partnerships and corporate sales.
  • Ensure seamless management of partner benefits onsite during event activity by building strong working relationships with both brand partners and the event teams.


Event Management:

  • Liaise between the Event Production and Partnerships departments, facilitating partners’ event elements throughout MFF’s official produced events.
  • Collaborate with the event teams to ensure seamless integration of partner activations, operational elements, branding and onsite partner liaison. This includes providing advice and assistance where relevant with event concepts, costings, proposals, agreements, reporting evaluation and debrief.
  • Managing relevant administrative processes and timelines, and ensuring partners are briefed on MFF’s Event Policies, Accreditation and OH&S requirements (particularly on-site) to ensure best practice at all times.
  • Contribute to the execution of high production standards across all MFF-produced events.


Administration:

  • Assist the Partnerships Team with the formulation and maintenance of department documentation including:
  • Corporate Hospitality, Partner Proposals and Sponsorship Agreements
  • WIP Notes
  • Revenue reports
  • Partner benefit registers
  • Department invoicing and post-event reconciliation; and
  • Any other duties that may arise in the fulfilment of the role objective

 

KEY SELECTION CRITERIA

  • 2+ years’ experience: client management experience, ideally in an events, cultural organisation, media or agency context. Some event production experience preferred.
  • Communication skills: excellent ability to communicate effectively with internal and external stakeholders, verbally and in writing, able to produce clear and accurate event documentation.
  • Technical skills: high-level competency in Microsoft Office.
  • Budget management: experience managing and tracking assigned budgets.
  • Time management and planning: superior ability to effectively plan project delivery and meet deadlines.

LOCATION & OTHER TERMS

The position is based at the organisation’s offices at Level 2, Mitchell House Annexe, 358 Lonsdale Street Melbourne or remote working conditions where required by Government directive, instructed by Management, or for the requirements of the event.
