Role Description
We are an Adelaide based fashion house that began nearly 10 years ago with the now globally recognised brand ‘Acler’. Acler is a female founded and led business that at its heart, celebrates quality textiles, masterful craftsmanship and accessible luxury pieces. From the success of Acler grew our second brand ‘Significant Other’. Significant Other is a pioneering force for artisanal luxury and resort-wear, a renowned presence in the Australian and international markets. Both brands have expanded rapidly, with an ever-growing list of major retailers across the US, EU, UK and Middle East.
The Production Assistant will support the Producer to plan and implement 30+ Photo Shoots across the year. We are looking for a highly organised Production Assistant to ensure projects are delivered on-time, on-budget and are of the highest quality.
Key Responsibilities
PRODUCTION OF PHOTOSHOOTS
- Attendance of all Adelaide based Photoshoots (E-Com plus Lookbook). Note that being a 4 Day Per Week role, working days will need to accommodate attendance of all photoshoots.
- Inventory Management – Plan out all tools necessary for photoshoots to run smoothly and safely, under the direction of the Producer. You will need to manage inventory, hire equipment, prepare various kits, pack suitcases and create records of all garment samples required for shooting and procedures.
- Creative Documentation – Assist the Producer in preparing key shoot documentation to ensure smooth execution and alignment with creative objectives. Responsibilities include developing detailed photo shoot schedules, call sheets, and run sheets that outline set and prop changes, stakeholder contacts, sample tracking, staffing requirements, and timing of logistics. Also support outfitting documentation, model presentation notes, and style selection records to facilitate creative approvals and on-day coordination.
- Coordinate domestic and international travel bookings for crew, talent, and production teams, including flights, accommodation, transport, and transport. Manage last‑minute changes, cancellations, and schedule adjustments while maintaining clear communication with all stakeholders. All travel bookings will be managed by this role. Track travel costs and ensure alignment with production budgets and compliance requirements.
- You will need to manage accessory and prop research, purchases and borrowing requests for all shoots. This includes ordering, preparing styling goods for outfitting, returning goods. Managing payment, return forms, transport and communicating with brands we collaborate with.
- Sample Management – Support the Creative team with sample tracking, sms quality reviews, dry cleaning, and logistics aligned to key content shoot and reshoot requirements.
- Reshoot Management – Lead the reshoot process, including sample preparation, checking shippers and stock arrivals, distributing samples to relevant teams post-shoot, and managing the return of shippers and sales orders. Oversee pre- and post-sell SMS and shipper returns to ensure accurate handling and timely returns.
- As directed by the Producer, provide receipts for Photoshoots to accounts for payment.
- Support Art Direction team as required to meet creative deadlines and provide internal updates on timing of deliverables. At times you may be required to support in naming and saving e-com imagery.
TIMELINES AND COMPANY COMMUNICATION
- Support the Producer to maintain the 12 Month Photoshoot Calender, Company Calendar and project timelines for both brands.
- You will be required to build close relations with Wholesale, Marketing, Ecom and Design team members to organise shoot samples and to ensure assets are delivered on time.
- Office and Creative Team Calendar Management.
SOURCE AND HIRE TALENT
- External supplier Management: Liaison with suppliers and contractors including photographers, videographers, studio managers, HMU artists, model agents, creative agents, transport, and trades persons. Support Producer with bookings, schedules, payments, organisational communications with regards to suppliers noted above.
- Props development or sourcing: Based on concept you will need to source or create prop elements to complement photoshoots. This might entail creating spec documents, managing quotes, consulting with different businesses and/or building props from scratch.
- Event Support: As required, provide administrative and coordination support to PR & Communications teams for runway and key brand events, including venue/equipment hire bookings, bump-in/bump-out logistics and call sheets, if required.
REQUIREMENTS
- 1-2 years experience in creative production, which may have included prop sourcing, liaison with model agencies and sample management.
- Photo shoot experience desirable.
- Interest in fashion industry desirable.
- Highly organised with excellent attention to detail.
- Effective time management, with the ability to work under pressure to meet very firm and tight deadlines.
- Proactive and can hustle working across a number of photoshoot projects at one time.
- Able to work at a fast pace, with a flexible attitude to pivot quickly.
- A team player with strong interpersonal skills.
- Demonstrated ability to problem solve.
- Microsoft Office suite proficient. Adobe & Project Management desirable.
- Able to accommodate flexible work hours.
