We’re looking for an exceptional Executive Assistant to support our Founder and CEO. This is a pivotal, high-impact role at the heart of KIVARI. You’ll be a trusted partner, keeping everything running smoothly and helping our leaders focus on what matters most.
This role is primarily executive support, with a small element of personal assistance to the Founder when needed.
You’ll manage complex diaries, emails, and domestic and international travel for both leaders and the wider company, prepare meeting agendas, take minutes, organise company travel, support office administration, and use tools — including AI — to enhance productivity.
No two days will be the same, and you’ll need to be highly organised, proactive, and calm under pressure. Your discretion, warmth, and emotional intelligence will make you the ultimate go-to for the Founder, CEO, and HQ team.
Key Responsibilities
- Provide executive support to the Founder and CEO, including diary and email management, scheduling, and prioritisation of tasks
- Prepare meeting agendas, briefing notes, and follow-ups; take minutes where required
- Pull department reports and prepare presentations as needed to support leadership and team meetings
- Book and manage domestic and international travel for both leaders and company-wide travel for the team
- Oversee office administration, supplies, and day-to-day HQ operations
- Act as a central point of communication for the HQ team and key stakeholders
- Support onboarding/offboarding, team communications, and culture initiatives
- Use AI and other productivity tools to streamline workflows and optimise executive time
- Provide personal assistance to the Founder on occasion (minimal, as required)
- Handle sensitive information with discretion and professionalism
KEY SKILLS
- Proven experience supporting senior executives in a fast-paced, dynamic environment
- Exceptional diary, email, and calendar management skills (Outlook experience essential)
- Strong organisational, multitasking, and problem-solving abilities
- High integrity, discretion, and emotional intelligence
- Confident prioritisation of competing demands
- Proactive and resourceful, able to anticipate needs before being asked
- Comfortable adapting to new tools and technology, including AI productivity tools
- Willingness to travel interstate and internationally when required
