Role Description
We’re looking for a proactive and organised Fulfilment & eCommerce Coordinator to join our close-knit team at Olga de Polga, an established Melbourne-based women’s fashion label. This hands-on role combines order fulfilment, stock coordination, and eCommerce support — ideal for someone who enjoys variety, takes pride in accuracy, and loves being part of a creative small business.
You’ll be responsible for ensuring smooth daily operations across our online and retail logistics. From picking and packing online orders to managing inventory, stock transfers, and restocks to stores, you’ll play a vital behind-the-scenes role that keeps our customers happy and our business running efficiently.
This position allows senior staff to focus on design and growth while you take ownership of the fulfilment process, maintaining accuracy, structure, and consistency.
Key Responsibilities
- Pick, pack, and dispatch all online orders neatly and accurately.
- Process shipments through Australia Post (AMP) and maintain clean fulfilment records in Shopify.
- Ensure parcels are presented to brand standards.
- Respond to customer emails about orders, returns, and exchanges.
- Process returns/exchanges in line with company policy.
- Support product uploads, stock data entry, and general Shopify administration.
- Coordinate restocks and stock transfers between stores, warehouse, and head office.
- Conduct regular stock counts and investigate discrepancies.
- Receive and unpack deliveries, tag garments, and update inventory.
- Maintain a clean, well-organised packing and storage area.
- Prepare new-season stock for merchandising and photography.
- Liaise with couriers and retail teams regarding pickups and deliveries.
- Support the reporting of inventory or fulfilment issues.
- Assist in improving internal systems and workflow efficiencies.
KEY SKILLS

Experience in retail, eCommerce, or warehouse operations (Shopify experience ideal).
- Strong attention to detail, organisation, and record-keeping.

Computer literacy (Excel/Google Sheets, email, and basic inventory systems).
- A proactive, reliable, and hands-on approach.
- Team player with a positive, can-do attitude.
- Moderate physical fitness (lifting and moving boxes as required).
