We’re looking for a Client Care Coordinator to become the heartbeat of our client communication.
Based in our brand-new Collingwood Head Office, this is a full-time role focused on centralising inbound client communication across all showrooms, supporting bookings, nurturing client relationships, and ensuring every interaction feels thoughtful, seamless, and considered.
You’ll work alongside our Head of Client Experience and showroom teams nationally to ensure every client feels seen, supported, and prioritised at every stage of their journey.
Key Responsibilities
- Own all inbound calls across showrooms
- Return missed calls promptly and professionally
- Manage website booking requests, general enquiries and reschedules
- Coordinate fittings using Timely
- Maintain accurate client records in HubSpot
- Proactively follow up post-appointment and post-purchase
- Support garment arrival communication
- Ensure pickups and remakes are actioned smoothly
- Identify opportunities to re-engage existing clients
- Assist with building structured nurture flows and retention processes
- Respond to online enquiries and support tickets
- Assist with order tracking and post-purchase care
- Help shape scalable client care processes for digital growth
- Assist with packing and coordinating key internal projects
- Track inbound enquiry volumes and identify patterns
- Contribute to improving systems and reporting
KEY SKILLS
- Highly organised and detail-oriented
- Calm, warm and confident on the phone
- Proactive – you don’t wait to be told what to do
- Tech-comfortable (HubSpot, Timely, CRM systems – or quick to learn)
- Process-driven but people-first
- Energised by delivering exceptional client experiences
