About The Role
We’re looking for a warm, organised, and detail-oriented Client and Studio Operations Manager to join our studio team. This is a varied role that sits at the heart of how our business runs, from the first message a client sends us, through to the moment their piece is in their hands.
You’ll be the connective tissue between our clients, our jewellers, and our retail team, keeping everything moving with care and precision. If you love creating order, building relationships, and being the person who just gets things done, this might be exactly the role for you.
Key Responsibilities
Client Communication and Services
- Manage our customer enquiry inbox, responding to organic enquiries, website form submissions and ongoing client conversations with warmth and professionalism.
- Work closely with our jewellers to prepare quotes for bespoke commission enquiries and own these conversations.
- Create and send client invoices through Xero, ensuring all activity is accurately logged.
- Own deadline management across client orders, proactively tracking production progress and following up with jewellers to keep each piece on schedule.
Studio Operations
- Track sales across Xero, our physical store, and our online channel, logging data into our sales spreadsheet and preparing monthly reports to share with the team
- Work alongside our Jewellers to keep our Production tasks up to date, tracking each client order through our six-to-eight week jewellery production process — from quoting and payment through to every stage of making
- Maintain our inventory pricing spreadsheet, working alongside our jewellers to document product components and costs, and partnering with our founder to set pricing; updated quarterly to reflect material cost changes.
- Manage inventory, ensuring inventory tracker is up to date, conduct and coordinate stocktakes and work with jewellers to maintain stock levels.
- Keep linesheets and product books current with up-to-date products and pricing, and ensure printed copies are ready for the retail team.
- Take the lead in creating and evolving business processes, to ensure we are working at our most efficient.
Retail Team Support
- Support in recruiting, onboarding, and training retail team members.
- Be a reliable day-to-day point of contact for the retail team, acting as the link between the office team and retail to help things run smoothly on the floor.
- Ensuring Retail Training Guides and Resources are up to date, and distributed.
- Assist in the coordination and execution of in-store events, interstate pop-ups and activations.
Ecommerce / Website
- Pack and dispatch online orders, ensuring every piece leaves the studio presented beautifully and on time.
- Manage website inventory, keeping product listings accurate, up to date, and reflective of current stock.
What we’re looking for
- Experience in a client-facing operations, studio management, or office administration role
- Confident using Xero for invoicing and financial tracking
- Familiar with Asana (or similar project management tools) for task and production tracking
- Comfortable working across spreadsheets — particularly Excel — with a good eye for detail
- Strong written communication skills; you know how to strike the right tone with clients
- A proactive, ownership-led approach — you don’t wait to be told, you just take care of it
- Comfortable wearing a lot of hats and switching between tasks across a busy studio day
- An interest in or appreciation for jewellery, craft, or the luxury goods space is a plus
