Role Description
Detail-led support across finance, reporting, and recruitment administration.
As Admin Support (Finance and Recruitment), you help keep key back-office operations running smoothly by providing accurate and organized administrative support across finance and recruitment functions. You assist with invoice processing, payment coordination, and reporting to ensure the business maintains clear financial visibility and reliable records. You also support recruitment administration, helping coordinate hiring processes and maintain efficient onboarding and people administration, enabling the business to hire effectively and operate efficiently.
Key Responsibilities
Bookkeeping and Payroll Support
- Manage invoice payments from receipt through to payment, ensuring invoices are approved, paid on time, and maintain accurate records.
- Support the Bookkeeper with queries and payroll administration as needed.
Reporting and Spreadsheets
- Prepare and pull regular reports as requested, ensuring data is accurate, up to date, and clearly presented.
- Recruitment Administration
- Support recruitment admin across the hiring process, including:
- Posting roles and monitoring applications
- Scheduling and conducting interviews
- Candidate communication and keeping candidates updated
- Updating recruitment trackers and filing recruitment documents appropriately
Process and systems improvement
- Identify opportunities to streamline admin processes and introduce simple improvements that optimize systems, reduce manual work, and improve accuracy.
How Success is Measured
- Payroll, invoicing, and financial data are processed accurately and on time, with issues identified and resolved before impacting others.
- Hiring processes are managed promptly, professionally, and within expected timelines.
- Continuous improvements are made to processes, systems, or workflows to reduce manual effort and minimize error risk
